What To Expect From Your EHR Vendor

Selecting an EHR VendorBefore 2000, nine out of 10 U.S. doctors updated their patients’ records by hand and maintained paper files with demographics and treatment notes. In the last decade, though, physicians – motivated by mandates and hoping to improve patient outcomes and their bottom line – have increasingly embraced EHRs. As of 2015, 87% of office-based physicians had adopted some form of EHR; that’s up from 42% in 2008. By this March, 67% of all providers (office-based or otherwise) reported using an EHR. Responding to the growing need, at least 1,100 vendors offer an EHR.

Before committing to a new EHR vendor, think about what you’re looking for. What do you want the system to do? How much direct control will you have? How difficult is it to make changes? What’s the vendor’s customer service like?

Factor in plenty of time to move data – patient demographics, clinical notes, practitioner information, and schedules. Will you input/transfer data in house, implement a digital data migration process, or use an external vendor? The learning curve may be steep, so think about who will receive training, how that will happen, and how long it will take.

Here are some questions to keep in mind when looking for an EHR vendor.

  • Is the vendor focused on your specialty, or is it a general system that has a few specialty-specific templates?
  • Are the vendor’s support agents experts in your area of specialty? How much do they “get” the world of mental health and substance abuse services?
  • Is the package customizable? Does the vendor provide a scalable solution? Can the features accommodate your growing business? Will you have to start with a smaller EHR now and later move to a bigger one?
  • What is the vendor’s approach and timeline for data migration and system implementation? Can you make changes on your own or will you have to pay the software vendor to customize for you?
  • How does the vendor’s customer support operate? In what format do you communicate with the company? Do you have an account representative dedicated to your company?
  • How responsive are the sales and account reps?
  • What implementation resources does the vendor offer? Do you get adequate help to get started the right way?
  • What kind of training does the vendor offer (webinars, manuals, technical documents, guided training, etc.)?
