What's New?

Automatic CPT Override

You can now configure BillingTracker to automatically substitute the CPT code displayed on the claim files on a per-insurer basis. You'll find the new form by going to: File -> Setup -> CPT Override.

Integrated Help

We've made it easier for you to access all of our help resources from various forms throughout ClinicTracker. You can search our extensive library of FAQs, review the Step By Step Guides, or view Training Videos relevant to the area of the system in which you are working. You'll find these context-specific help buttons in the Options form, Maintenance menu, Reports, and more. For example, users with access to the Options form can go to: Help -> About, Admin Config -> Options, and Click the Help menu.

User Suggestion of the Month

Thanks to Jan Schippers of MHealthy, we've added a new setting that allows you to require a Patient Group ID when a particular Patient Group has been selected on the Intake tab of the Demographics form. To configure this option, go to: Utilities -> Maintenance -> Patient Group Input.

Industry News

Healthcare providers nationwide are waking up to the substantial benefits of electronic claim submission and reconciliation. According to the American Medical Association, tools like the electronic remittance advice (ERA) are saving medical practices approximately $10,000/year for each physician in the group.


The ERA (commonly referred to as the HIPAA 835 file) is the electronic equivalent of a paper Explanation of Benefits (EOB). It indicates how much the insurer paid on the claim and identifies reasons for any denial of benefits. Prior to the ERA, staff would have to spend hours going through each claim, posting payments, and reconciling any errors. Now that entire process can be automated. Billing software with ERA capability saves office staff from having to collect mail, file paper documents, manually post payments, and adjudicate claims with payers. Another advantage is that insurers pay electronic submissions more quickly.
