Wyoming Client Information System

ClinicTracker EHR is compliant with Wyoming Client Information System regulationsFederal and state grant reporting can be extremely cumbersome and time-consuming. Although the intention of collecting these data is to improve client treatment, the reporting requirements can be so tedious that they often shift staff focus away from managing the agency and providing high quality care. To ease the pain, ClinicTracker has added many state reporting utilities to its behavioral healthcare EHR and practice management system. Our newest custom-made utility is the FY 2016 version issued by Wyoming State Client Information System (WCIS) to support the federal Substance Abuse Prevention and Treatment Block Grant (SAPT-BG) requirements. Wyoming receives approximately $3.5 million annually

Since reporting requirements vary from state to state, we tailor our products to meet clients’ specific needs. WCIS joins similar information collecting products ClinicTracker created for Illinois, Oregon, and Washington. ClinicTracker is poised to respond to clinics’ needs in other states as well.

The SAPT-BG funds development and implementation of substance abuse prevention and treatment policies; practices; and programs. The Substance Abuse and Mental Health Services Administration (SAMSHA) distributes SAPT-BG funding to states and territories through a population-based formula. The federal funding requires accountability from agencies, which must submit annual applications that show statutory and regulatory compliance to receive the formula-based funding.

The Wyoming Client Information System (WCIS) allows Wyoming’s mental health and substance abuse providers to input client demographics, client services, client outcome, and performance data to a web-based data collection and reporting system. Providers can then use data to generate reports appropriate for the Division’s Federal Block Grant Programs for Mental Health and Substance Abuse services; national and Wyoming Outcome Measures; and contract management and monitoring processes.

To streamline that process, ClinicTracker includes data collection and automated reporting tools according to the specifications issued for FY 2016 by the WCIS (including ESR and MIS records). We have worked closely with WCIS staff to ensure ClinicTracker produces files in the required format. The system includes validation rules to ensure that the data the agency sends to the destination is consistently acceptable.

The program pulls the required data from the client’s file, formats it the way the government wants it, and checks for errors. We make data collection and reporting easy so you can focus on your priority: patient care.
